If everyone involved has access to the software at some level, it will be easier to keep the information on the program up to date, meaning that you will be more likely to always have the latest information at your fingertips. Each person can be responsible for updating the software after they have completed relevant tasks, and you will be able to keep an accurate account of who worked on what part of the project and for how long. This can help you determine how many employee hours different tasks are taking to complete. It is helpful if those involved get reminder emails or some other type of reminder before deadlines so that they are less likely to be missed.
